As the Retail Design & Visual Merchandising assistant, your role is to assist the RDVM director and the team on all projects within the luxury division. 

You will be responsible for raising and tracking purchase orders, ensuring smooth purchasing processes in accordance with group guidelines.  Additionally, you will serve as the backbone in supporting all refit, maintenance, tender and installation projects.

Another key responsibility will be to report, track, and review capital expenditure and VM budget throughout the year. 

In this role, I will collaborate closely with the two heads of RD and VM, finance, purchasing, accounting, and all brands, retailers, and contractors, and report directly to the RDVM director.


You will


    Act as the main point of contact for the RDVM & Field Merchandising teams for all purchasing and financial queries.

    Oversee PO management for all brands, including raising POs, tracking PO information, and chasing for approvals.

    Ensure all projects are on time and processes are followed correctly.

    Be an ambassador for My Market, the L’Oréal purchasing Platform.

    Work with accounts payable to resolve invoice queries and PO discrepancies.

    Support RDVM teams with their budget planning, including asset creation, transfer, reclassification, and disposal.

    Track and manage the annual and quarterly budget for the team across all brands, covering both CAPEX and OPEX trackers.

    Support finance by actualising the monthly budget and preparing a spending summary for each trend.

    Assist RDVM teams with maintaining trackers and streamlining Excel spreadsheets and processes.

    Work with purchasing to ensure all POs are raised accurately. Regularly check team spending to ensure compliance and correct procedures.

    Prepare quarterly presentations on budget spend for all brands, summarising clearly for top-level management.

    Communicate regularly with suppliers to ensure a smooth payment process and keep them informed with relevant PO information.

    Analyse store sell-out data and help calculate ROI to review spending in correct segments and with retailers.

    Review investment into store assets and maintain good working relationships with the assets team.


You have



    Strong organisational and administrative skills.

    Ability to effectively manage a variety of stakeholders.

    Excellent proficiency in Microsoft Office, particularly advanced skills in Excel and PowerPoint.

    Confident in delivering presentations.

    Strong communication skills, both written and verbal.

    Analytical skills and comfort in working with numerical data.

    Ability to establish and improve processes, as well as solve problems.

    Good understanding of capital and operating expenditure.

    Keen interest in Retail Design and Visual Merchandising

    Determined and creative mindset.

    Experience in raising purchase orders (POs) and handling invoices.

    Familiarity with SAP software.

    Experience in luxury retail is a plus.

    Passion for the beauty industry is a plus.

    Interest and desire to learn about design, architecture, and the luxury retail industry would be a plus .

1.    CAPEX & OPEX Management. Key result: Ensuring proper tracking and reporting of CAPEX and OPEX as well as accurate and timely SRI and closures

2.    Budget Construction. Key result: Timely and accurate development of budgets for RDVM & Field Merchandising teams.

3.    Purchasing and finance Compliance. Key result: Ensuring compliance with purchasing and finance policies and procedures. Efficient management of purchase orders (PO) and goods receipt notes (GRN) to minimise discrepancies and delays.
