What You Will Do:

As the Manager of Benefits and Retirement you will lead a team providing comprehensive support to L’Oréal employees across two key areas: supporting benefits inquiries and retirement processes. You will oversee daily operations for each function, ensuring service level agreements are met, driving process improvements, and developing high-performing teams. This role requires a strong understanding of HR operations, benefits administration, a passion for delivering outstanding employee service, and proven leadership capabilities.

Key Responsibilities:

Team Leadership & Development: 

  • Team Leadership & Development: Lead, mentor, and develop a team of HR Specialistsand Analysts. You will foster a culture of collaboration, conduct performance reviews, and manage team workload to ensure seamless support.
  • Benefits Operations: Oversee the day-to-day administration of all U.S. employee benefits, including 401(k)/retirement plans, HSA, group life/disability (MetLife), health insurance, leave of absence (LOA), garnishments, and payroll issue resolution.
  • Employee HR Case Management: Direct the BEST HR team in managing employee inquiries through the HR case system. You will review case queues, ensure service level agreements (SLAs) are met, and manage escalations to ensuretimelyresolution.
  • Vendor Management: Act as the main point of contact for externalbenefitsvendors, including T. Rowe Price (retirement), MetLife (insurance), Bright Horizons (dependent care), Wheels (fleet), and Spring Health (mental health).
  • Reporting & Analysis: Monitorkey performance indicators (KPIs), analyze data toidentifytrends, and present findings to senior management to drive continuous improvement.

Oversight of Benefits, Leave & Retirement Admin:

  • Retirement Plan Oversight:Supervise the Retirement Plans Analyst in the day-to-day administration of Pension and 401(k) plans. Ensure rigorous retirement plan compliance andleadthe annual audit processes.
  • Operational Support:Support andmaintainLocal Standard Operating Procedures (LSOP) for retirement and benefits functions to ensure consistency and regulatory adherence.
  • Leave Management:Oversee the administration of all leave of absence programs, ensuring compliance with relevant laws (e.g., FMLA, ADA, state/local laws). This includes managing leave requests, tracking balances, and coordinating with stakeholders.
  • General Benefits:Oversee the daily operations of the Benefits Administration space, ensuringtimelyresolution of inquiriesregardingfleet management, fitness programs, and health & welfare plans.
  • KPI Management:Monitorkey performance indicators (KPIs) such as call resolution times, service levels, customer satisfaction, and retirement processing accuracy.
  • Knowledge Management:Develop andmaintainknowledge base resources (FAQs/guides) related to benefits, leave, and retirement policies to empower employee self-service.

Benefits & Retirement Administration:

  • Oversee the daily administration of all employee benefits and retirement programs. Coordinatebenefitscontinuation and retirement contributions during employee leaves of absence.
  • Ensure compliance with all applicable laws and regulations (e.g., ERISA, HIPAA, COBRA, IRS retirement guidelines).
  • Perform audits of benefit and retirement deductions loaded into Payroll; collaborate with the Payroll Manager to resolve discrepancies.
  • Manage relationships with external benefits and retirement vendors, negotiatingcontractsand ensuring service level agreements (SLAs) are met.
  • Resolve escalated issues and provide guidance to employees on complex benefits and retirement-related questions.
  • Lead year-end administration, including YTD balance audits for GTL/HSA and retirement contribution limit monitoring.

Oversight of Benefits & Retirement team:

  • Oversee the management ofthe daily operations of theBenefits Administration space, ensuringtimelyandaccurateresolution of employee inquiries across a broad range of topicsincluding:
  • Fleet administration (company car)
  • Fitness program enrollment
  • Health &Welfare plan inquiries
  • Ensure completion of401(k) reconciliation
  • Supporting the annual retirement plan audit
  • Accountability for accuracy and integrity of all benefits reporting
  • Administrative supportofannualL’OréalEmployee Share Purchase plan
  • Develop andmaintainknowledge base resources, including FAQs and guides related tobenefits andretirementpolicies to empower employees with self-service options.
  • Identifytrends and patterns in employeeinquiries, toproactively address recurring issues,optimizeservice delivery, and recommend process improvements.

Benefits Administration:

  • Oversee the daily administration of all employee benefits programs, including health & welfare, wellness programs,fleet,and other employeeperks. 
  • Coordinatebenefitscontinuation and other relevant processes during employee leaves of absence.
  • Ensure compliance with all applicable laws and regulations (e.g., ERISA, HIPAA, COBRA).
  • Ensure completion ofauditsforbenefit deductions loaded into Payroll and collaborate with Payroll Manager to fix discrepancies
  • Build andmaintainrelationships with externalbenefitsvendors and providers.
  • Resolve escalated benefits issues and provide guidance to employees on complex benefits-related questions.
  • Year-endadministration to include YTD balance audits for GTL/HSA/etc.andstopdeductions andstartfor new enrollment year.

Reporting & Analysis:

  • Monitor key performance indicators (KPIs) such as service levels, customer satisfaction,and vendor accuracy. Implement action plans for improvement as needed.
  • Develop andmaintainreports and dashboards to track key performance indicators (KPIs) andidentifyareas for improvement across all areas of responsibility.
  • Analyze data toidentifytrends and insights and present findings and recommendations to senior management, COE,and other stakeholders.

Qualifications:

  • Bachelor's degree in human resources, Business Administration, orrelatedfield.
  • 7+ years of experience in HR operations, with a focus on benefits administration, retirement plan management, and leave management.
  • 3+ years of experience leading and managing teams, including demonstrated success in developing and mentoring direct reports.
  • Strong knowledge of employee benefits laws and regulations (e.g., ERISA, HIPAA, COBRA, FMLA, ADA).
  • Proficiency(advanced capability) in Microsoft OfficeSuite ofproducts. Specifically, Excel (VLOOKUPs, macros, pivot tables), PowerPoint (animations, embedding, Master slide management), Word, and Outlook.
  • Excellent communication, interpersonal, problem-solving, and analytical skills.
  • Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Experience with HR systems (e.g., SuccessFactors,Kronos)and data analysis tools.
  • Case management experience (e.g.Service Now, Salesforce).

Preferred Qualifications:

  • SHRM-CP, SHRM-SCP, CEBS, or other relevant certifications preferred.
  • Experience in the consumer goods or beauty industry.
  • Bilingual (Spanish/French) a plus.
