Job Title Manager, L’Oreal Academy

Location: 20 Hudson Yards Academy 

Reports To: AVP, Academies

What You Will Learn: 

This Academy Manager a highly operational role requiring strong organizational, logistical, and interpersonal skills. This individual is essentially the "Host" of the L'Oréal Academy, ensuring its smooth and efficient operation.  

Customer Service and Program Preplanning: 

  • Customer Service Excellence: Responsibility for high level of customer service, creating a positive and welcoming experience for all academy attendees while addressing any needs that may come up.  
  • Event ID Management: Opening and communicating Event IDs to PPD
  • Brand Collaboration: Hosting calls with brands to confirm setup needs with clear communication and collaboration to ensure program requirements are met.
  • Attendee Management: Overseeing attendee registration and management systems requires proficiency with relevant software and a meticulous approach to data management.

Workshop/Program Setup and Class Execution: 

  • Logistics Supervision: Supervising logistics for program coordinators, facility managers, vendor deliveries including all supplies and stock needed. The Academy Manager's plays a central role in coordinating various aspects of the program delivery.
  • Inventory Management: Managing inventory for a wide range of items, from academy tools to product stock and styling tools to office supplies and catering materials,
  • Class Preparation: Preparing classrooms and workshops, including setting up equipment, arranging furniture, and ensuring adequate supplies, is a key operational responsibility.

Catering and AV Support: 

  • Catering Coordination: Ordering and setting up catering for events and classes involves logistical planning and coordination with catering providers.
  • AV Support Supervision: Supervising AV support in classrooms ensures that presentations and demonstrations run smoothly. This may involve troubleshooting technical issues and coordinating with AV technicians.

 

 

Facility Maintenance and Vendor Management: 

  • Vendor Relationship Management: Managing vendor contracts and maintaining successful vendor relationships are key for ensuring smooth academy operations.
  • Facility Maintenance Coordination: Coordinating academy maintenance with Campus Experience and communicating needs to the next level manager (N+1) to ensure the upkeep and functionality of the academy facilities.
  • Purchase Order Management: Opening purchase orders (POs) for academy vendors involves managing procurement processes and ensuring necessary supplies and services are acquired.

Management and Supervision: 

  • Operational Flexibility: The requirement for on-site presence during busy times, evenings, and weekends. Ability to work in a face paced and demanding environment.
  • Personnel Supervision: Supervising full-time staff, artists, and contract laborers involves delegating tasks, managing schedules, and ensuring everyone understands their responsibilities.

 

This Academy Manager role requires a highly organized individual with strong logistical, interpersonal, and problem-solving skills. The ability to multitask, prioritize effectively, and maintain a positive attitude in a fast-paced environment is essential for success. 

 

What We Are Looking For: 

Required Qualifications: 

  • Education Requirements - Degrees/Certifications- Bachelors Degree or higher
  • Years of Experience- 5+ years
  • Job Specific Experience/Skills – understanding of Professional Industry and understanding of hairdresser’s tools & equipment. 
  • Technical Skills (i.e., SAP, MS Office, etc.) Proficient in Excel, Word, Outlook, Teams
  • List Physical Requirements of the Role (i.e., sitting, standing, twisting, bending, physical in-office presence) Sitting, standing, bending, moving and setting up of fixtures & tools, lifting of product boxes. 
  • Flexibility in work schedule, nights and some weekends. 

Preferred Qualifications: 

  • Bachelor of Science degree.
  • Relevant Industry Certifications – Cosmetology License preferred but not required
  • Soft Skills if applicable (i.e., project management, communication, time management, detail oriented, etc.) Project management, strong logistical skills, interpersonal skills, ability to work in a faced paced environment.
