Role Summary: We are seeking a highly organized and detail-oriented resource to support the operational excellence of our People Development & Learning initiatives across the SAPMENA (South East Asia Pacific, Middle- East, North Africa) region. In this role, you will act as the operational and financial backbone of our PD&L function, focusing on learning administration, financial administration, data coordination, and process execution while ensuring data integrity across our systems.


Your Responsibilities 

1. Performance and Vendor Management   

• SLA & KPI Tracking: Monitor and evaluate the day-to-day performance of our key service provider managing the learning administration, ensuring strict adherence to agreed Service Level Agreements (SLAs) and Key Performance Indicators (KPIs). 

• Performance Reviews: Conduct regular operational reviews with the vendor to identify bottlenecks, optimize workflows, and drive continuous service improvement. 

• Reporting & Escalation: Consolidate vendor performance data to provide routine updates to zone leadership, and act as the primary point of contact to resolve and escalate critical service issues. 


2. Financial Administration & Budget Management 

• Purchase Order & Goods Received Management: Oversee the end-to-end purchasing process for the SAPMENA Campus, including creating Purchase Orders (POs), tracking open commitments, and driving timely Goods Receipts (GRs) from participating markets. 

• Cross-Charging & Rebilling: Manage the monthly rebilling process of participant fees for learning programs, ensuring accurate and timely cost allocation to the respective markets. 

• P&L Tracking & Reporting: Diligently track all program-related costs (expenses, vendor fees) and revenues to maintain an accurate, up-to-date Profit & Loss (P&L) statement. Prepare and present monthly financial reports to the Finance team. 

• Cost Reallocation: Partner closely with the BEST Finance team to coordinate and execute monthly cost reallocations at the market level. 


3. Program Coordination & Data Management   

• Pulse Survey Operations: Lead the end-to-end data preparation phase for the annual Pulse survey (activity focused between February and July). This includes supervising localized translations, coordinating organizational hierarchy updates, managing User Acceptance Testing (UAT), and communicating key timelines and assets to markets. 

• HRBP Enablement: Host bi-weekly support and alignment calls for HRBPs to ensure smooth execution of the Pulse process. 

• Enrollment Auditing: Cross-check and track program enrollments against the Training Needs Analysis (TNA) and Seminar by Nomination (SBN) nominations. Proactively follow up with local PD&L managers and participants to secure timely registrations and maintain absolute data accuracy. 

• LMS Session Optimization: Monitor the Learning Management System (LMS) to ensure learning sessions are correctly created based on TNA. Compare available seat capacity against regional demand, collaborate with global practice teams on session scheduling, and manage communication regarding session updates or cancellations to the zone. 


4. Reporting & Stakeholder Support 

• First-Line Support: Serve as the primary point of contact for local PD&L teams across the region for all queries related to existing service dashboards and reports. 

• Issue Resolution: Troubleshoot data discrepancies and escalate complex technical system or dashboard issues to the global tech teams for resolution. 


5. Onboarding & Capability Building 

• Process Training: Act as the primary point of contact to onboard new PD&L team members on critical back-office activities. 

• Tool Upskilling: Upskill the community on our standard operating procedures for working with Efficians, financial management workflows, and the effective use of our data and reporting tools.


We Are Looking For 

To succeed in this role, you should possess a strong blend of analytical, financial, and collaborative competencies. 

• Data Analytics & Governance: High proficiency in managing, auditing, and interpreting large datasets within Excel, LMS, and HR information systems to ensure absolute data integrity. 

• Financial Acumen: Strong capability in budget tracking, cost allocation, P&L reporting, and managing corporate purchasing processes (PO/GR). 

• Project & Process Management: Exceptional organizational skills with a proven ability to manage multiple concurrent timelines, coordinate complex surveys (like Pulse), and drive operational discipline. 

• Stakeholder Collaboration: Strong interpersonal and communication skills to effectively partner with, support, and influence HR stakeholders and local PD&L teams across diverse geographies. • Vendor & Performance Management: Ability to manage external service providers, monitor SLAs, and drive operational excellence.
