Job Title: Senior Specialist – HR Data Administration

Work Arrangement: Hybrid – 3 Days Onsite / 2 Days Remote

The Role at a Glance:
The HR Data Senior Specialist is a precision-focused HR operations role within L'Oréal's BEST HR shared services function. This role is responsible for ensuring the integrity, accuracy, and compliance of HR data across the employee lifecycle. The HR Data Senior Specialist audits and approves HR data transactions, performs HRIS data entry and maintenance, supports workflow administration, and partners cross-functionally to resolve data discrepancies. The ideal candidate is highly detail-oriented, process-driven, and comfortable working within enterprise HR systems in a fast-paced shared services environment.
Responsibilities:
Data Quality & Workflow Administration — Operational Master
- Audit, review, and approve HR data transactions to ensure accuracy, integrity, and compliance with established standards.
- Perform standard HR administrative tasks including contract generation and document uploads.
- Support data entry and maintenance activities within SuccessFactors or other relevant HRIS platforms.
- Identify and flag data discrepancies; partner with appropriate teams to resolve in a timely manner.
- Manage workflows through the case management system (ServiceNow), ensuring timely resolution or escalation.
- Log cases, track progress, and maintain resolution documentation in accordance with SLA and HR excellence standards.
- HR data entry and maintenance in SuccessFactors and related HRIS platforms.
- Contract generation and document uploads.
- Workflow administration and case management via ServiceNow.
- Employee Verification requests.
- Tuition Reimbursement processing.
- HR policy questions and policy acknowledgement facilitation.
- Time Off management (vacation, PTO, Summer Hours, WFH, etc.).
- Unemployment claims processing
- Scheudling Employee exit interviews
- Ensuring compliance and completion of employee exit checklists
HR Administration & Compliance
- Conduct and respond to Employee Verification requests.
- Process Tuition Reimbursement requests in accordance with policy.
- Address HR policy questions and facilitate policy acknowledgement processes.
- Ensure data entry accuracy and promote self-service solutions where applicable.
- Support the broader HR community with One HR expertise on data-related matters.
People Champion — Collaboration & Service Excellence
- Maintain a high level of service and monitor data quality and efficiency KPIs.
- Ensure a seamless, confidential experience for all data-related interactions.
- Collaborate with Tier-2 specialists (e.g., Payroll, Mobility, Benefits) to resolve complex data or workflow cases.
- Inform or alert local HRBPs when data anomalies or relevant situations arise.
Culture & Change Agent — Continuous Improvement
- Track recurring data issues or process gaps to inform HR Excellence teams and create feedback loops.
- Use knowledge articles to ensure consistent and compliant data handling practices.
- Flag outdated or missing process documentation to support continuous improvement.
- Contribute to the reinforcement of data governance standards across the BEST HR function.

What We Are Looking For:
Required Qualifications:
- Associate's or Bachelor's degree in Human Resources, Business Administration, Information Systems, or a related field preferred; equivalent work experience considered.
- Minimum 2 years of relevant experience in HR operations, data administration, shared services, or a related function.
- Demonstrated experience with HRIS data entry, auditing, and transaction management — this is a key differentiator for this role.
- Strong case management experience; ServiceNow experience highly preferred.
- Experience with SuccessFactors or another enterprise HRIS platform strongly preferred.
- Proficiency in Microsoft Office Suite (Outlook, Teams, Excel — required).
- Strong organizational, time management, and multi-tasking abilities.
- Excellent written and verbal communication skills.
- Ability to handle sensitive and confidential information with the utmost discretion.
- Exceptional attention to detail and critical thinking skills — essential for this role.
- Multicultural mindset and continuous improvement orientation.
Preferred Qualifications:
- Spanish language proficiency — highly preferred.
- Familiarity with payroll data and timekeeping logic.
- Experience with Automated Call Distribution (ACD) systems.
- Advanced degree in HR, Business, or a related field.
- HR certifications: PHR, SHRM-CP, or equivalent.
