What You Will Learn: This strategic role involves leading the end-to-end management and optimization of sampling programs for CeraVe, La Roche-Posay, and Vichy, encompassing forecasting, new launch integration, and efficient allocation across all channels, including medical events. The Manager – Medical Sales Administration will drive data-driven insights through comprehensive reporting and ROI analysis, while fostering strong cross-functional partnerships with internal teams and external vendors to ensure seamless operations and fiscal responsibility. We seek a candidate with a Bachelor's degree (preferably in a quantitative business discipline), a minimum of two years' experience in operations, supply chain, and forecasting (FMCG preferred), demonstrating strong analytical, project management, and collaborative skills.

Key Responsibilities:

I. Sampling Program Strategy & Management

· Forecasting & Planning: Own the strategic forecasting of samples for CeraVe, LRP, and Vichy, collaborating closely with senior sales leadership and other internal stakeholders.

· Portfolio Optimization: Identify gaps and efficiencies within the existing sample portfolio and make recommendations for improvement.

· New Launch Integration: Manage new product launch sample timelines, partnering with DMI on product availability dates and proactively communicating any changes to leadership. Provide recommendations for sample sizing for both new launches and existing core business.

· LRP Specifics: For La Roche-Posay specifically, manage the reworking of forecasts, artwork, and printing for sample materials.

· Vichy Hair Collaboration: Collaborate with Vichy counterparts to support sampling needs for medical marketing initiatives specific to haircare products.

II. Sample Allocation & Fulfillment

· Roster Alignment: Manage monthly roster alignment for all field allocations in partnership with relevant stakeholders in sales, analytics, and marketing.

· Allocation Execution: Execute monthly sample allocations for all field teams, quarterly allocations for Caribe, Inside Sales (Derm and Pediatric), and manage ad hoc requests from medical, brand, and education teams.

· Sample Array Recommendations: Provide data-driven recommendations on sample array, unit, and dollar weight of business, informed by field feedback, sample consumption, and trends within the medical space.

III. Reporting & Analysis

· Performance Tracking: Manage all sample and trade reporting, tracking allocations month-over-month and year-over-year by brand, detailing team, and franchises.

· ROI Support: Utilize tracking data to support Bet IQ ROI analysis and monitor accuracy from forecast to fulfillment.

IV. Field Engagement & Support

· Issue Resolution: Work proactively with field representatives to address any urgent or relevant issues pertaining to sample allocation and related concerns, providing timely solutions and support.

· Feedback Integration: Actively seek input and feedback from the field regarding sample and trade support, sample closet display opportunities, competitive activities, and leverage insights to make recommendations for program optimization.

V. Conference & Event Sampling

· Event Planning & Execution: Oversee comprehensive sample planning and allocation for national and regional medical congresses and scientific events relevant to various HCP specialties. This includes everything from pre-kick-off calls to ensuring all executional needs are addressed for maximum impact during events.

· Collaboration with Events Director: Work closely with the Director of Events on all conference-related needs as they pertain to sample inquiries and requirements for CeraVe, LRP, and Vichy.

VI. Cross-Functional Collaboration & Efficiency

· Stakeholder Liaison: Actively liaise with various cross-functional partners, including Medical Affairs, Finance, DMI, Sales, Consumer teams, and Analytics, to ensure seamless sampling operations.

· Audit & Optimization: Collaborate with the Analytics team to conduct quarterly audits on sample consumption across brands, identifying areas for efficiency and improvement.

· Budget Management: Partner with the Finance team as needed on budget management for all sampling programs, ensuring fiscal responsibility and optimal resource utilization.

· Vendor & Process Management: Lead the partnership with the primary sampling vendor (CCG) and spearhead the NEO (New Economic Order) process for vendor-related activities.


What We Are Looking For:

Required Qualifications:

· Bachelor’s degree required, preferably in Supply Chain, Mathematics, Statistics, Operations Research, or other quantitative business disciplines.

· Overall experience of 5-7 years. Minimum of 2 years of experience in operations or supply chain management with a strong focus on forecasting, allocation, and program management, preferably within the beauty or consumer packaged goods (FMCG) industry. Minimum of 2 years forecasting experience required.

· Proven experience in managing sampling programs from end-to-end, including strategic planning, execution, and reporting.

· Demonstrated ability to collaborate cross-functionally, e.g., with sales, brand marketing, finance, and external vendors.

· Experience with budget management and financial analysis related to program optimization.

Skills:

· Strategic Planning & Forecasting: Exceptional ability to develop and own strategic forecasts, analyze data, and make data-driven recommendations.

· Project Management: Strong organizational skills with the ability to manage multiple projects simultaneously, prioritize tasks, and meet deadlines in a matrix environment.

· Analytical & Problem-Solving: Proficient in data analysis, performance tracking, ROI analysis, and identifying gaps/efficiencies to optimize samples management processes.

· Cross-Functional Collaboration & Communication: Excellent interpersonal and communication skills (written and verbal) to effectively liaise with diverse internal teams and external partners.

· Vendor Management: Experience in managing vendor relationships and overseeing processes with external partners.

· Attention to Detail: Meticulous in managing allocations, tracking performance, and ensuring accuracy from forecast to fulfillment.

· Proactivity & Adaptability: Ability to proactively address issues, integrate feedback, issue resolution, and adapt to changing business needs and timelines.

· Technical Proficiency: Proficiency with MS Office required, with intermediate MS Excel required, and advanced Excel skills being highly helpful for data analysis, reporting, and forecasting. Familiarity with relevant planning and reporting software is also beneficial.

Additional Benefits Information As Follows:

Salary Range: $82,000.00 - $140,200.00(The actual compensation will depend on a variety of job-related factors which may include geographic location, work experience, education, and skill level)
