Role Overview
The Retail Operations Coordinator serves as the vital backbone of our retail division, acting as the primary bridge between our field retail teams and corporate functions. This role is responsible for driving operational excellence across our boutique and counter network by managing critical retail systems, optimizing inventory, delivering actionable analytics, and maintaining tight financial oversight. The ideal candidate is highly organized, analytical, and thrives in a fast-paced, dynamic retail environment.
Key Responsibilities & Job Scope
1. Retail Operations & Systems Management
Primary Liaison: Act as the first point of contact and primary bridge between the field retail team (Boutique/Counter Managers) and other corporate functions (IT, HR, Finance, Marketing, Supply Chain).
Systems Administration: Manage day-to-day retail systems and operations, specifically focusing on POS (Point of Sale), StoreForce, Cegid, and other related retail applications.
New Initiative Rollouts: Support Global Retail and Retail Business Managers (RBMs) in deploying and rolling out new technology solutions, operational policies, and retail procedures across the market.
Store Maintenance & Design: Act as the coordinator and follow-up point for all store maintenance requests and store design modifications, ensuring our physical spaces always represent the brand's premium standards.
2. Inventory & Stock Management
Supply Chain Liaison: Coordinate closely with the Supply Chain team to manage product ordering, fulfillment, Out-of-Stock (OOS) issues, stock transfers, and phase-outs/reformulations.
Stockholding Optimization: Assess and analyze current boutique stockholdings, ensuring optimal stock levels (neither overstocked nor understocked), and coordinate the execution of half-yearly physical stocktakes.
Peak & Launch Forecasting: Work collaboratively with relevant brand, marketing, and commercial parties on inventory forecasting specifically surrounding new product launches and seasonal peak orders.
POSM/PLV Control: Review and manage weekly Point of Sale Materials (POSM / PLV) replenishment orders to ensure boutiques are aligned with current marketing campaigns.
3. Retail Analytics & Reporting
Sales & KPI Reporting: Compile, analyze, and distribute regular (daily/weekly/monthly) and ad-hoc sales, performance, and operational KPI reports.
Business Insights: Dive deep into retail data to derive actionable insights, suggesting strategic solutions based on sell-in/sell-out forecasts, historical trends, and current market conditions.
Data Integrity: Champion and protect retail data integrity by strictly managing, auditing, and optimizing retail operational processes and database systems.
4. Financial Control & Expense Management
Logistics Expenses: Monitor and audit transport and logistics expenses incurred as a result of stock movements, transfers, or courier services between locations.
Store Expense Guidance: Guide, educate, and assist Store Managers in reviewing, managing, and controlling their respective monthly boutique/counter operational expenses.
Role Requirements
Education: Minimum of a Diploma in any field or course of study.
Experience: At least 2 to 5 years of hands-on experience in retail operations, retail administration, or a highly similar coordinator role.
System Savvy: Proven experience working with retail management systems. Familiarity with Cegid, StoreForce, and POS software is highly advantageous.
Analytical Mindset: Excellent analytical and numerical skills; highly proficient in Microsoft Excel (VLOOKUP, Pivot Tables, data manipulation) to handle complex KPI reporting and stock data.
Communication: Strong interpersonal and communication skills, with the ability to confidently navigate relationships across both corporate offices and field-based retail teams.
Attitude: Proactive, detail-oriented, highly organized, and capable of managing multiple priorities under tight deadlines.
