L'Oréal, the world leader in beauty, is seeking a talented Executive Assistant to directly support our Management Committee (ManCom) Members. This role offers a unique opportunity to work at the heart of our organization, driving key projects and ensuring operational excellence.

Key Responsibilities: 

  • Executive & Team Support: Provide comprehensive administrative and logistical support to ManCom members (5 managers).
  • Travel & Expense Management: Coordinate domestic and international travel, including booking flights and hotels, and manage expense reports via Concur.
  • Calendar & Meeting Coordination: Manage multiple complex calendars (up to 5), organize meetings with internal and external partners.
  • Event Planning & Execution: Lead logistics for significant company events, including the "Hackers Group" (up to 80 attendees), covering venue, catering, agency liaison, workshop setup, transfers, and supplier contact.
  • Project Management: Drive dedicated projects in cooperation with ManCom members or HR Business Partners.
  • Financial Administration: Manage internal orders, place purchase orders (POs), and work towards reducing PO creator numbers.
  • Data & Survey Handling: Utilize Excel extensively for data export from forms/surveys and contribute to data-driven event preparation.
  • Operational Support: Handle ad-hoc requests, manage logistics for visiting teams (hotels, local arrangements), and assist with daily office needs (e.g., food orders, supplies).

  • Experience: Similar role min 3 years
  • Exceptional Organization: Multi-tasking, prioritization, and attention to detail.
  • Proactivity & Problem-Solving: A "can-do" attitude, ability to anticipate needs, connect the dots, and find solutions.
  • Resilience & Assertiveness: Confidently navigate challenges and ensure task completion.
  • Strong Communication: Excellent networking and interpersonal skills.
  • Language Fluency: Fluent in both English and Polish.
  • Technical Proficiency: Advanced Excel skills, experience with Concur. SAP or Ariba knowledge is a plus.
  • High Energy: Enthusiasm and creativity for executing diverse projects.
  • Communication & Engagement: Act as an engagement officer, fostering effective internal communication.
