Job Title Senior Specialist, Time & Attendance Administrator (UKG)

Position Summary

The Time & Attendance Administrator plays a critical role in ensuring the accuracy, alignment, and efficiency of our organization's time-tracking processes. This position is responsible for overseeing the daily integration files between our core HR system and UKG, performing essential master data audits to prevent payroll errors, and executing the final payroll export files. Acting as a key system resource, this administrator will manage incoming support cases—resolving timecard issues, UKG system questions, and user access requests—while collaborating closely with management to keep training documentation and quick-reference guides up to date.

The ideal candidate possesses strong data-auditing skills, a solid functional understanding of UKG system logic, and a customer-service-oriented approach to supporting our managers and employees.

Key Responsibilities

1. System Administration, Integration & Data Alignment

  • Integration Management: Own the daily loading, processing, and monitoring of integration files transferring data from the core HR system into UKG.
  • Data Auditing & Alignment: Conduct and create audits to ensure all employee profiles, organizational structures, job assignments, and active statuses in UKG are perfectly aligned and synchronized with the HR system of record.
  • Backend System Liaison: Maintain a deep functional understanding of how the UKG backend architecture, pay rules, and schedule patterns are built to troubleshoot integration issues, identify data mismatches, and effectively translate system needs to the team.
  • Integrity Monitoring: Monitor system-wide data health, identify anomalies or failing data transfers, and coordinate immediately with HRIT or payroll systems analysts to resolve backend integration bottlenecks.

2. Payroll Export & Case Management

  • Timecard Sign-Off Operations: Manage and enforce the payroll cycle deadlines, ensuring all managers and employees complete their required timecard approvals and sign-offs on schedule.
  • Payroll File Processing: Execute and monitor the weekly and bi-weekly UKG payroll export files, auditing the data to guarantee the files generate completely and without system errors.
  • Vendor & Payroll Partner Liaison: Notify the external payroll processing provider immediately upon successful file generation, providing accurate file names and verifying transmission success.
  • Inquiry, System Access & Case Management: Serve as the primary point of contact for system support; triage and resolve incoming cases specifically related to timecard corrections, UKG navigation questions, and user access/permission requests.

3. Training & Documentation Support

  • User Onboarding & Training: Design and deliver targeted training sessions for new employees and managers, ensuring they understand how to navigate UKG, enter time, request time off, and manage approvals.
  • Collaborative Document Maintenance: Work closely with team to review existing UKG quick-reference guides and job aids, helping to update and refine these materials whenever system updates, navigation changes, or process adjustments occur.
  • Proactive Support: Act as a helpful guide for the business, translating technical UKG functions into easy-to-understand instructions for non-technical users to improve overall system adoption and reduce user errors.

4. Master Data Audits & Ad-Hoc Reporting

  • Payroll Prevention Audits: Perform targeted master data audits within UKG to identify and correct discrepancies before payroll runs, ensuring all employee records are accurate.
  • Pay Group Validation: Verify that employee pay groups are assigned correctly in UKG, aligning with their current job roles and payroll requirements.
  • Accrual Data Adjustments: Monitor position changes and transfers, manually adjusting and updating leave accrual profiles (such as PTO or sick time) in UKG to reflect their new roles.
  • Ad-Hoc Reporting & Audit Support: Pull historical timecard data, system logs, or system audits on an as-needed basis to support internal/external requests submitted through the case system.

 

What We Are Looking For:

Required Qualifications:

Education & Experience:

  • Associate’s or Bachelor’s Degree in Human Resources, Business Administration, Information Systems, or a related field (or equivalent working experience).
  • Minimum of 2–3 years of experience dedicated to HR operations, time/attendance administration, or payroll processing support.
  • Required Technical Expertise: Must have direct, hands-on experience working with UKG (Kronos) timekeeping software.

Technical & Professional Skills:

  • Analytical Skills: Exceptional attention to detail with a proven ability to spot data mismatches between separate HR and time systems.
  • Excel Proficiency: Intermediate MS Excel skills (VLOOKUPs, data filtering, and formatting) for comparing large datasets and system exports.
  • Problem Solving: A logical mindset capable of troubleshooting integration errors and understanding backend software logic.
  • Communication & Collaboration: Strong verbal and written communication skills, with the ability to explain system processes clearly to employees and partner effectively with a manager to keep documentation fresh.
  • Customer Service Mindset: Patience and professionalism when managing a case queue and helping users resolve technical or system access issues.
