We are seeking a highly organized, proactive, and exceptionally skilled Executive Assistant to provide comprehensive administrative and strategic support to the Head of Site for the India Tech Hub based out of Hyderabad. This pivotal role requires an individual who can anticipate needs, manage complex schedules, facilitate effective communication, and contribute to the smooth operation of a dynamic, fast-paced global environment. The successful candidate will act as a trusted partner, ensuring the Head of Site's time is optimized for strategic initiatives and leadership responsibilities, while upholding the highest standards of discretion and professionalism.
LEAD TASKS
Executive Support & Calendar Management:
- Manage and maintain an extremely busy and dynamic calendar for the Head of Site, including scheduling meetings, appointments, and conferences, both internal and external, across multiple time zones.
- Prioritize conflicting demands and proactively address scheduling changes, ensuring optimal use of the Head of Site's time.
- Coordinate and prepare all necessary materials for meetings, presentations, and events, ensuring the Head of Site is well-briefed and equipped.
Communication & Correspondence:
- Act as a primary point of contact, screening and prioritizing incoming communications (emails, calls, messages).
- Prepare and edit professional correspondence, reports, presentations, and other documents with meticulous attention to detail, grammar, and formatting.
- Facilitate internal and external communications, ensuring timely and clear dissemination of information.
Travel & Logistics Coordination:
- Arrange complex international and domestic travel itineraries, including flights, accommodations, transportation, and visa requirements.
- Prepare detailed travel briefs and ensure all logistics are meticulously managed to facilitate seamless travel experiences.
- Process expense reports accurately and promptly.
Meeting & Event Management:
- Organize and coordinate leadership team meetings, town halls, workshops, and other site-wide or global events, including agenda preparation, minute-taking, action item tracking, and follow-up.
- Manage event logistics, vendor coordination, and budget tracking as needed.
Office Administration & Confidentiality:
- Maintain an organized filing system (digital and physical) for critical documents, ensuring confidentiality and easy retrieval.
- Handle sensitive information with the utmost discretion and integrity.
- Support general administrative tasks to ensure the efficient operation of the Head of Site's office.
PROFILE REQUIREMENTS
Technical Competencies
- Bachelor’s degree preferred; a strong combination of relevant experience and certifications will also be considered.
- Minimum of 7-10 years of experience as an Executive Assistant supporting C-suite executives or senior leadership in a large, multinational organization, preferably within a global business services, shared services, or capability center environment.
- Proven experience managing complex schedules and travel for executives operating across multiple time zones.
- Fluent in English; proficiency in additional languages relevant to our global operations is a plus.

- Advanced Technical Proficiency: Expert-level proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and experience with virtual meeting platforms and collaboration tools.
- Attention to Detail: Meticulous accuracy in all tasks, from scheduling to document preparation.
- Adaptability & Resilience: Ability to thrive in a fast-paced, dynamic global environment and adapt to changing priorities.
- Interpersonal Savvy: Strong ability to build relationships and interact professionally with internal and external stakeholders at all levels
