Job Summary:

This position is responsible for providing highly diverse administrative support to the SVP of Talent, VP of Talent and will be responsible for select coordination projects supporting the greater Talent team.  This position works closely with top executives across all divisions and brands, outside vendors, and International Top Management. Responsibilities include, but are not limited to: calendar management, presentation material and meeting preparation, coordination of key reporting, Event organization, purchase order creation and processing, candidate scheduling. Additional responsibilities include expense report preparation, executive travel arrangements, ordering of supplies, processing departmental requests.  Role has the potential to increase responsibilities and career path into Talent Acquisition to source and interview candidates.

  • Perform administrative tasks including: complex calendar management for internal and external meetings, manage any domestic or international travel arrangements, arrange and troubleshoot meeting scheduling conflicts and complete expense reports
  • Provide updated calendar on a daily basis and as it changes, confer with the executives to ensure calendar is manageable and up-to-date
  • Liaise with internal executives & teams, as well as external business contacts to establish seamless communication, working across multiple time zones
  • Handle all logistics for meetings: prepare agenda, send meeting requests, confirm attendance of required attendees, reserve appropriate meeting space and partner with IT for use of technical systems when needed (ie: video conference), manage ordering of catering, supplies and equipment
  • Prepare and type key strategic memo correspondence, disseminating departmental information on behalf of the Talent team and providing overall assistance
  • Compile and distribute meeting minutes and independently coordinate follow-ups, as necessary, to ensure appropriate actions are being taken
  • Assist with preparation of strategic presentations and spreadsheets and organization of key metric reporting
  • Manage logistics for external presentation engagements.
  • Plan and coordinate onsite and offsite events for the Talent leadership team
  • Advise reception of visitors, arrange schedule for and greets visitors and escort them to appropriate area or person
  • Open and Manage Purchase Orders (PO’s) and/ or other related requests; Manage key expense tracking
  • Meet as needed to prioritize, plan and work on special project assignments assisting the overall Talent team that may be related to Talent Acquisition, Employer Branding, Talent Management ie a special project may be to partner with the Campus Recruitment team for onboarding summer interns, placements, check ins, attending presentations, coordinating events throughout the summer.


  • Bachelor’s Degree required
  • 5+ years previous administrative experience
  • Very strong Microsoft Outlook skills for calendar management
  • Strong Proficiency Office (Word, Excel & PowerPoint) Computer Skills
  • Comfortable with learning new IT HR specific systems
  • Able to prioritize and organize and meet deadlines
  • Flexible, Detail-oriented and professional
  • Able to handle sensitive and confidential information
  • Ability to interact appropriately with Senior Managers and external constituents
  • Able to multi-task
  • Strong oral and written communications skills, good grammar and spelling
  • Able to work well with coworkers and to work cross functionally
  • Strong curiosity and interest in Human Resources function; understanding of HR disciplines such as recruiting, talent management, employer reputation.
  • Preference will be given to those with demonstrated experience or education focused on employee relations, talent acquisition and talent development
